The Agency Operations Assistant is the “backbone” of the agency. Providing assistance to the Service Manager and Agent – while also overseeing the coordination of the office, recruiting, marketing & advertising. A little bit of everything!

Office Duties

  • Welcome clients and visitors to the office and assist them as needed
  • Manage, sort, and dispense incoming mail
  • Payments (general bookkeeping duties)
  • Delivering Commercial info to Commercial Manager
  • Scanning in documents to CSR team
  • Purchasing of stamps
  • Prepare outgoing mail and packages
  • Maintain staff and company calendars
  • Set appointments, meetings, and conference calls
  • Frequently check office supply stock; reorder supplies when needed (Shipt, Innovative, Target/Office Max runs, office furniture)
  • Team member appreciation (odering of gifts, coordination of birthdays, lunches etc.)

  • Hearsay Social (Posts f& Website)
  • Instagram (Posts for every day)
  • Google MyBusiness
  • Brand Muscle Coordination
  • Event planning and coordination
    • Customer appreciation events
    • Networking events
  • Coordinating Ads in Edina
    • Payments
    • Working with corporate Ad limitations

Sales Assistance

  • Quoting in systems
    • Home, auto, life
  • Processing of new business
    • Submittal of new policies & follow up
  • Home Photos
  • Assisting in process development and implementation
  • Provide strategic input on goals & growth


  • Manage recruitment efforts: job posting, phone screenings and in-person interviews
    • Serve as point person for all new employee inquiries and needs


  • Ad hoc errands for agent
